Annual General Meeting Minutes

Held at Jubilee Club, Three Bridges, Crawley on Thursday, 29th August 2024 at 8pm

2. Apologies for Absence

3. Minutes of Previous AGM

The minutes of the previous AGM held on 10th August 2023 were approved as a true and accurate record. Proposed by Carl Bailey, seconded by Peter Moore.

4. Matters Arising

There were no matters arising that were not covered by items on the agenda.

5. Chairman's Report

David Miller presented his report for the 2023/24 season:

The league had another successful season with 15 teams participating. Membership has remained stable with no teams dropping out. The new website has been well received and has significantly improved communication and results reporting. Thanks were extended to James Wilson for maintaining the results and statistics on the website.

The Chairman expressed his gratitude to all committee members for their hard work throughout the season and to all venues for their continued support.

Notable achievements for the season included:

  • League winners: The Unbearables (Premier Division) and Ewhurst Arrows (A Division)
  • Cup winners: Dark Side Of The Moon (Premier Division Cup) and Jubilee Club (A Division Cup)
  • Most 180s: Chris Davis (The Unbearables) with 14
  • Highest Finish: Justin Young (Rebels) with 170

6. Treasurer's Report

Sarah Thompson presented the audited accounts for the year ending 31st July 2024:

7. Election of Officers

The following committee members were elected unopposed:

8. Resolutions and Rule Changes

Resolution 1: League Fee Structure
That team registration fees for the 2024/25 season be increased from £80 to £85 per team to reflect increased trophy and administration costs.

In favor: 17, Against: 4, Abstentions: 5

Motion passed

Resolution 2: Singles Format in A Division
That the singles format in A Division remains as best of 3 legs for the 2024/25 season, rather than changing to the Premier Division format of best of 5 legs.

In favor: 21, Against: 2, Abstentions: 3

Resolution 3: Player Registration Deadline
That the deadline for player registration be set at 31st October 2024, after which teams wishing to register additional players must apply to the committee.

In favor: 20, Against: 3, Abstentions: 3

Resolution 4: Introduction of Online Score Submission
That all match scores must be submitted via the league website within 48 hours of the match being played, with paper score sheets no longer being accepted.

In favor: 19, Against: 5, Abstentions: 2

Resolution 5: Revision of Scoring System
That the scoring system for Premier Division singles be updated to: 5 points for a 3-0 win, 4 points for a 3-1 win, 3 points for a 3-2 win, 2 points for a 2-3 loss, 1 point for a 1-3 loss, and 0 points for a 0-3 loss.

In favor: 15, Against: 8, Abstentions: 3

9. Fixtures and Key Dates for 2024/25 Season

The following key dates were agreed for the 2024/25 season:

  • Season Start: Friday, 4th October 2024 (Trebles Competition Night)
  • League Matches Start: Friday, 11th October 2024
  • Christmas Break: 27th December 2024
  • Knockout Cup Rounds: 22nd November 2024, 4th April 2025, 23rd May 2025
  • Pairs Competition: Friday, 14th February 2025
  • Singles Competition: Friday, 2nd May 2025
  • Paul Terry Memorial Night: Friday, 9th May 2025
  • Captain/Secretary Competition: Friday, 16th May 2025
  • Finals Night: Friday, 30th May 2025
  • Presentation Evening: Friday, 6th June 2025

The fixture list will be circulated to all teams by the end of August and published on the league website.

10. Any Other Business

Website Development: James Wilson reported that the new Submit Score and player statistics features have been added to the website. Training will be provided to team captains on how to use these features effectively.

Charity Night: Emma Lewis suggested organizing a special charity night in March 2025 to raise funds for St Catherine's Hospice. This was agreed in principle, with Emma to prepare detailed proposals for committee approval.

Venue Changes: Allen Myers informed the meeting that The Dingles venue will be undergoing refurbishment in January 2025 and alternative arrangements may need to be made for home matches during this period. The committee will work with The Dingles team to find suitable solutions.

Promotion/Relegation: It was confirmed that The Unbearables (winners of Premier Division) and Pelham (bottom of Premier Division) would exchange places with Ewhurst Arrows (winners of A Division) and Ewhurst Woodys (bottom of A Division) for the 2024/25 season.

11. Date of Next Meeting

The next AGM will be held on Thursday, 7th August 2025 at 19:30 at Jubilee Club, Three Bridges, Crawley.

The meeting closed at 9:35pm.
